Organising daily cover lessons
Every morning one teacher or more is absent and their lessons must be covered before assembly. Finding a free teacher isn't enough: cover should be fair across the week and reach each teacher in time.
Record absences early
The whole day or specific periods, with the reason. The earlier it's recorded, the fewer lessons are covered in a rush.
Know who is available
An available teacher is free that period, not on duty, and under the daily or weekly cover limit.
Rank the options
Best is a teacher of the same subject, then one who teaches that class, then whoever covered least this week. That keeps lessons on track and fair.
Tell the teachers
Send each teacher their cover lessons (period, class, covering for) clearly, and print the cover sheet for the staff room.
Watch the numbers
Review each teacher's cover count weekly so the same people don't always carry it.
Tips
- In Gadwaly: record an absence and the affected lessons appear with a suggested cover teacher for each — same subject first, then a teacher of that class, then whoever has the lightest day — then send every teacher their cover lessons on WhatsApp in one tap and check each teacher's cover count in the cover report.
Questions
Can a lesson be cancelled instead of covered?
Yes — sometimes the lesson is cancelled or classes are merged, and that is recorded on the day's sheet.
